How to Customize Email Notification Messages

PublishPress allows you to customize the email notifications that are sent out.

The text of the notifications is controlled from the “What to say?” area of each notification workflow.

PublishPress shortcodes can be dropped directly into the Subject or Body. The image below has an example of notification shortcodes in action:

Shortcodes for Content

Here’s the default shortcode:

  • [psppno_post]

Here are the available fields:

  • id
  • title
  • permalink
  • date
  • time
  • old_status
  • new_status
  • edit_link
  • author_display_name
  • author_email
  • author_login

Example uses:

  • How to show the post title: [psppno_post title]
  • How to show the post URL: [psppno_post permalink]
  • How to show the new status for the post: [psppno_post new_status]

Shortcodes for the Author

Here’s the default shortcode:

  • [psppno_actor]

Here are the available fields:

  • display_name
  • email
  • id
  • login
  • url

Example uses:

  • How to show the author’s name: [psppno_author display_name]
  • How to show the author’s email address: [psppno_post email]

Shortcodes for Editorial Comments

Here’s the default shortcode:

  • [psppno_edcomment]

Here are the available fields:

  • content
  • author
  • author_email
  • author_url
  • author_ip
  • date
  • id

Example uses:

  • How to show the content of the editorial comment: [psppno_edcomment content]
  • How to show the author of the editorial comment: [psppno_edcomment author]

Shortcodes for the Notification Receiver

Here’s the default shortcode:

  • name
  • email

Example uses:

  • How to show the email address of the person receiving the notification: [psppno_receiver email]

Using Multiple Shortcode Fields Together

To display multiple fields in a shortcode, simply list the fields with a space to separate them:

[shortcode field1 field2 field3]

Changing the From Name for Notifications

Go to the “General” tab of PublishPress Settings and you can customize the name and email address used to send notifications:
